From Allen's Desk

Allen HardonI hope you're enjoying your summer so far and are looking forward to the Independence Day holiday.

Please note that I will be out of the office on vacation from Monday, July 4th through Tuesday, July 19th.  If you require assistance while I'm away, please contact Mary Tolifson at 602-943-9696 x100 or Brenda Martin at x112 and they will locate a consultant to assist you.

The slower pace of summer may be a good time to brush up on your Timeslips knowledge by taking a Timeslips training class.  The most current training information can be found on our Timeslips Classes page.  Please don't hesitate to contact me for specialized training at our training center, in your office or via webinar.  Also note that Timeslips classes will be taught on Timeslips 2010 by Sage utilizing the Timeslips 2010 by Sage training guides unless other arrangements are made.

In the hustle and bustle of everyday business, it is difficult to reach out to each customer and thank them for making our business possible.  We want you to know that we truly appreciate your business and the trust you have placed in us.  As always, I would love to hear what's on your mind.  Please call me at 602-943-9696 X106 or send me an email.  Have a great rest of the summer!

Tech Tip: Managing Your Passwords

Beyond Management

Managing Your Passwords

by Neil Quateman, Beyond Managment, LLC

If you haven't yet been driven crazy by the need to manage logins and passwords, it's probably just a matter of time.  There are utilities available to make this task much easier to digest.  An important by-product of having an effective method to manage passwords is that your passwords can be much more secure and more difficult to hack.  You don't need to remember each and every password, your password manager will do that for you.  You only need to remember a single password.

I use a password manager and the single password unlocks access to my entire list of all passwords, and will also log me onto a Web site automatically.  Therefore, I can change my master password frequently and easily. I have a method of communicating my master password to my wife.  So, if something were to happen to me, she'd still be able to access all of our secured logins (e.g., banking, insurance, investments, etc.).

My password manager operates across platforms, and synchronizes all devices.  Regardless of which computer or handheld device I'm using, I have access to my entire list of passwords and Web site logons.  I can selectively share Web site logins with my administrative assistant.

Examples of widely used and well respected password managers are RoboForm, LastPass, and KeePass.  I have used RoboForm in the past, but am currently using LastPass.  The reason I switched to LastPass was the ease with which I could access the password list across various machines and operating systems.  LastPass is free for use on a Windows PC or Mac, or $12 annually (yes, that's one dollar per month) for the Premium version.  Being a Premium user gets priority tech support, and access to use the program on handheld devices (BlackBerry, iPhone, Android, and others).

Web browsing is more convenient with LastPass and the program stores forms for filling in Web pages (e.g., billing addresses, shipping addresses, and credit card information).  One can keep notes associated with each login and password, and it keeps a record of when the login was last edited.  Although it can let the user set up a folder structure to organize the password list, this almost isn't necessary because of the very effective and fast search feature to find individual passwords.

After several years using password managers, I find it hard to imagine how one could get by without one.

Timeslips 2012 Has Been Released

Backed by a 25-year reputation of quality and excellence, Sage Timeslips 2012 delivers a powerful set of new features for professional service-based organizations to take charge of their time and billing management processes. This award-winning solution not only simplifies procedures for tracking time, billing, and payments, it facilitates efficiency at every level for greater productivity and profitability-while reducing the risk associated with losing critical data.

Each new edition of Sage Timeslips builds upon the current feature set developed over the lifetime of the product and is based on customer feedback and analysis. Sage Timeslips 2012 is no exception. Sage is  committed to helping your organization grow and thrive, so we included new enhancements and upgrades, as well as intelligent adjustments to interfaces, settings, and improvements to the database. We hope you are excited about the improvements to work flow, billing, document access, and reporting in Sage Timeslips 2012.

Expanded Billing Capabilities
Sage Timeslips 2012 was designed to facilitate faster and more efficient billing than ever before. Take advantage of new options that increase the flexibility of your billing operations to save time, money, and resources-and even encourage you to go greener!

Easily edit previous bills with a word processor
Now you can edit previous bills without changing the billing history. Simply export past bills in rich text format for editing in a word processing application (such as Microsoft Word), where you can manipulate and reprint those bills while still retaining an accurate history record.

More closely control replacement slip content
With the new date option for replacement slips, you're able to summarize charges on bills by the start and end dates that are most appropriate for your needs-rather than relying on a default date. For example, you can choose to display summarized charges that span an entire month, appear with a date at the beginning or end of the month.

Better maintain and access PDF bill folders
Select a predefined location to store PDF bills and statements on a client-by-client basis for an easier method to retrieve or send them to each client. The PDF bills and statements can now be stored in individual client folders on a network drive or on the local drive of the billing machine.

if you have any questions regarding your Timeslips software, please contact Allen Hardon at 602-943-9696 x106 or email.
